In order to modify the database, first click on the MODIFY button. The system will ask for your user name and password. If you do not have a password, please contact either Ruth Watkins (RWat972@aol.com, 301-258-0545) or Mark Tillack (mtillack@ucsd.edu, 858-534-7897). Once you're in, then you should see a screen that includes links to:
The system is set up so that you can only make changes to entries that you "own". In other words, if you are logged in as MIT and you try to change one of the UCSD entries, it will not allow you to do that. Adding a new entry is fairly straightforward. Please note that the ID number is the "key" to the database. Every entry must have a unique ID. The system will automatically assign a new ID number, which you should normally leave as is. Deleting or Modifying an entry is a two-step process. First, you must identify which records you want to modify. Second you will be prompted to make changes. One of the subtleties in the Directory is the use of "subdivisions". Some organizations provided contact info for several groups. It's important to use the correct subdivision so that users can list all the people from a particular subdivision or search by subdivision. To identify the appropriate subdivision codes, please check the institutional contact info pages ( http://aries.ucsd.edu/fpa/DBMAN/orgs.shtml). For example, UCSD has two subdivisions: FERP and PHYS (see http://aries.ucsd.edu/fpa/DBMAN/ucsd.shtml I hope the rest is self-explanatory.
